Overview
Your subscription is managed through the Account Center. Each subscription has three roles with distinct permissions: Billing Owner, Workspace Admin, and User. A Reseller is not a separate role; it is a purchasing relationship where a partner buys on your behalf and acts as the Billing Owner (see the Reseller section).
This guide defines each role and its permissions. Roles are set per subscription, so the same person can be a Workspace Admin on one subscription and a User on another. Your role on a subscription is shown as a label in your Subscriptions list and on the subscription's Details, so you can see where you stand at a glance. For a side-by-side view, see the permissions table at the end of this article.
A) Key Permissions
Billing Owners can purchase and upgrade plans, add or remove seats, designate and reassign Workspace Admins, manage auto-renewal, and access billing and invoice records in the Account Center
Resellers (a purchasing relationship, not an account role) complete the purchase on behalf of a customer and become the Billing Owner for that subscription.
Workspace Admins receive assignment instructions and can assign or revoke User licenses; they cannot purchase, upgrade, or access billing
Users maintain access after license expiration, but will downgrade to the free version with premium features disabled.
B) Billing Owner
The Billing Owner is the person or organization that purchased the Lucen subscription. In reseller scenarios, the reseller holds this role.
The Billing Owner has full control over the Account Center, including purchasing new plans, upgrading, managing users, and accessing billing and invoices.
The Billing Owner can designate Workspace Admins and reassign that role to another team member at any time.
Workspace Admins can also add or remove other Workspace Admins, up to five per subscription. See section D.
There is only one Billing Owner per subscription.
Other default roles: By default, the owner will be automatically assigned as the Workspace Admin of a subscription if:
They don’t expressly designate someone to manage licenses at checkout (when purchasing themselves).
C) Reseller
A Reseller is a purchasing relationship rather than a separate account role. The Reseller is the individual merchant or company that purchases a subscription on behalf of a customer, rather than for their own use.
When a Reseller purchases a subscription, they become the Billing Owner and handle everything on the billing side: purchasing, upgrades, invoices, auto-renewal, and adding or removing seats.
Resellers do not assign or manage individual user licenses. Assigning seats to people is handled by the Workspace Admin designated for the customer's organization.
Auto-renewal is off by default for subscriptions imported through a reseller.
Bought through a reseller?
Your reseller is the Billing Owner, so contact them for anything on the billing side: invoices, renewals, upgrades, and adding or removing seats. To get a license assigned or changed, contact your organization's Workspace Admin, who manages seats for your team.
D) Workspace Admin
The Workspace Admin is responsible for administering licenses and managing users within the subscription.
Workspace Admins can assign and revoke licenses, add and remove Users, and edit their own admin profile settings.
A subscription can have more than one Workspace Admin (up to 5). One is marked Primary. Any Workspace Admin can add or remove other admins (including revoking their own role) or hand over the Primary role, from the subscription's Details tab. See How to designate or change a workspace admin.
A Workspace Admin can only change their account email address one time. This restriction is in place to prevent fraud. If a Workspace Admin needs to update their email after that one-time change, contact support.
E) User
A User is any person who has been assigned a license and activated it on their machine.
Users access premium features for as long as their license is active.
After a license expires, the add-in reverts to the free version with premium features disabled.
Note: When a license expires, the user keeps access, but the add-in switches to the Free version and premium features are disabled.
